TOPS (Talent Onboarding and Performance System) Management Training Materials

As a reminder, staff recruiting is first moving to TOPS, with faculty recruitment set to follow at a future date.
We hope this enhanced system provides a better user experience for both applicants and managers, and we welcome your feedback once you have a chance to begin using the system.

New hires meet with an HR Team member on their first day to complete their Employment Verification Form (I-9) and review benefit information. They will also be enrolled in an onboarding course through Canvas and be provided with two mandatory training sessions through LinkedIn and Vector Solutions. Additionally, a full orientation where new employees will have the opportunity to meet with Interim President Sheahon Zenger and other Cabinet members and HR staff to learn more about the University’s history and future. Student guided tours will also be available.

Important Faculty Updates
Approval path for faculty requisitions:
- Approval path for faculty roles: Hiring Manager (HM) (or School Dean if the Dean is the HM) -> School Dean -> Nancy Savage -> Deb Flonc
- Approval path for grant-funded roles: HM (or School Dean if the Dean is the HM) -> Lan Virasak -> School Dean -> Nancy Savage -> Deb Flonc
- Approval path for roles that require sponsorship: HM (or Dean if the Dean is the HM) -> Dean -> Kathy Kautz -> Nancy Savage -> Deb Flonc
Custom Fields for Faculty Roles
- Eclass categories for faculty roles are:
- F1 – Full-time faculty 10 month
- F2 – Full time faculty 12 month
- F3 – Practitioner-in-Residence
- F4 – Adjuncts
- Dept index – The index is the data entry code that designates the fund and org appropriate for any financial transaction
- Incumbent Position Number – The HR team is working on presenting the dean with a monthly report that has the following information: Banner ID, dept number and name, position #, and title. Deb Flonc can also provide the position number. You can @Deb in the requisition to request the position number. If you do not know the position number, please enter TBD as the position number.
*Key updates*
- Offer letters for adjuncts and PIRs will remain outside of TOPS and continue to be the responsibility of the college’s administrative team
- Adjuncts – The adjunct onboarding process will also continue as is, with the onboarding documentation completed by the department’s administrative team and submitted to OfficeofHumanResources@newhaven.edu. However, all adjunct requisitions must be entered in TOPS moving forward. TOPS is replacing Interfolio as the university’s applicant tracking system (ATS)
